# Wolff Finance Agent Privacy Policy

This Privacy Policy explains how Double Diamond Enterprises LTD, doing business as Altitude Property Management ("APM," "we," or "us"), handles information through the Wolff Finance Agent ("Wolff"). Wolff is an internal finance and accounting integration used by authorized APM personnel and approved service providers.

## 1. Information Wolff handles

Depending on an authorized workflow, Wolff may handle:

- QuickBooks company identifiers and accounting records, such as accounts, customers, vendors, bills, invoices, payments, journal entries, classes, locations, attachments, and reports;
- business contact and transaction information contained in those records;
- OAuth connection metadata and credential references;
- operational metadata, including request identifiers, timestamps, action results, approval state, idempotency records, and audit events; and
- information an authorized user provides when initiating or reviewing a workflow.

Wolff is not designed to collect passwords, passkeys, or multifactor-authentication secrets. OAuth access and refresh tokens are kept outside source control in APM's approved secret store.

## 2. How information is used

APM uses information handled by Wolff to:

- perform authorized bookkeeping, reconciliation, controllership, accounts-payable, accounts-receivable, and reporting work;
- authenticate and maintain the QuickBooks Online connection;
- verify the correct company before reading or writing accounting records;
- prevent duplicate actions, confirm write results, troubleshoot failures, and maintain audit evidence;
- enforce permissions, approval gates, accounting boundaries, and security controls; and
- comply with legal, contractual, accounting, and record-retention obligations.

APM does not sell personal information handled by Wolff or use it for cross-context behavioral advertising.

## 3. Sharing

Information is shared only as needed with:

- authorized APM personnel and approved service providers;
- Intuit and other connected providers when required to perform an authorized workflow;
- infrastructure and security providers that host, protect, or monitor Wolff; and
- regulators, law enforcement, courts, auditors, or other parties when required by law or necessary to protect rights, safety, or system integrity.

Connected providers process information under their own privacy policies and terms.

## 4. Security and access

APM uses access controls, scoped credentials, company binding, encrypted provider connections, secret storage outside source control, redacted errors, audit records, and approval gates appropriate to Wolff's role. No system can guarantee absolute security.

## 5. Retention

APM retains accounting records, audit evidence, and operational metadata for as long as reasonably needed for the purposes described above and as required by applicable accounting, legal, contractual, and record-retention obligations. OAuth credentials are revoked or removed when the connection or authorization ends.

## 6. Choices and requests

Authorized users may disconnect Wolff from QuickBooks Online through APM's integration controls or Intuit's connected-app settings. Requests concerning access, correction, deletion, or other privacy rights may be sent to the contact below. APM may need to retain information when required by law, accounting rules, security needs, or contractual obligations.

## 7. Geographic processing

Wolff is operated for APM in the United States. Information may be processed where APM's authorized providers maintain facilities, subject to their contractual and legal safeguards.

## 8. Children

Wolff is an internal business system and is not directed to children.

## 9. Changes

APM may update this policy as Wolff, its connected services, or applicable requirements change. The effective date above identifies the current version.
